What to prepare when changing IT support provider
A practical handover checklist for businesses reviewing their IT support arrangements.
Know what you have
Build a list of users, devices, applications, domains and key suppliers. Record who manages each service and how it is paid for. Keep passwords in an appropriate password manager rather than putting them into a shared checklist.
Understand your agreements
Review contract terms, renewal dates and notice arrangements with your existing suppliers. Identify any dependencies between support, licensing, internet and phone services before scheduling changes.
Clarify access and ownership
Establish who owns your domains and administrative accounts. Agree how access will be transferred securely and how unnecessary permissions will be removed once the handover is complete.
Plan for your people
Tell staff how to request help, when arrangements change and who to contact during the transition. Confirm service hours and response arrangements in the new agreement.
Check the result
Verify the agreed access, documentation and support routes. Record outstanding work and assign responsibilities. A clear handover gives both your team and your new provider a useful starting point.
